TERMS AND CONDITIONS
OFFICE HOURS
Office hours are 8.00am to 6.00pm Monday to Friday in Head Office 8.30am to 5.30pm in Kingston and Staines and 9.00am to 1.00pm on Saturday.
Vehicles are available after office hours but are subject to an out of hours charge of
£20.00 plus VAT.
DRIVERS
Persons aged 21-75 may hire groups A-C and 1-4, 25-75 may hire groups A-K and 1-10. L & M
group vehicles can only be driven by persons aged 30-75. A full driving license
which has been held for a minimum of 2 years must be produced at the beginning of every
hire. Only the hirer or a person approved by us is permitted to drive.
Endorsed and foreign licenses may be acceptable. International driving licences are not acceptable unless supported by the original licence from the country of issue Drivers
under 25 and over 69 are liable to an insurance surcharge of £2.35 per day.
MILEAGE
Rental rates include unlimited mileage on rentals in excess of 3 days. 1-3 day
rentals are charged at 10p+VAT for all miles in excess of 100 per day. 1 day is 24 hours.
Rentals of 28 days and over are subject to a mileage charge of 10p + VAT
for all miles in excess of 100 per day and 50p + VAT for all miles in excess of 125 per day.
WEEKEND RATES
Weekend rates are available at Kingston and Staines branches and apply to vehicles rented from 16.00 on Fridays to 08.30 the following Monday. Vehicles returned after
09.00 on Monday are charged at normal daily rates. Weekend rentals include 200 miles. One day rentals are not available from 12.00 on Fridays to 12.00 on Sundays at
Kingston and Staines branches. Please contact these branches direct for quotes on weekend rentals.
AVAILABITITY OF LARGE VEHICLES
All car groups are available from all branches but van groups 6, 7, 8, 9 and 10 are too large to be kept at Kingston and Staines branches but can be rented from there with advance reservations for periods in excess of 3 days.
PAYMENT
All payments must be made in advance by means of a Credit Card, Debit Card, or Maestro
Cards.
FULLY INCLUSIVE RATES
Include:- Hire charge, Unlimited Third Party Insurance, Loss Damage Waiver and VAT. The hirer is liable for any damage to the
vehicle up to £300.00, £500.00 for Car groups J - M & Van groups 5-10. A deposit of
£100.00 is held at the beginning of every rental and a Credit Card is pre authorised for the balance of the insurance excess. You may reduce the excess to £100.00 by the purchase of Additional Damage Waiver.
SELF INSURANCE
When the hirer is responsible for insuring the vehicle it must be returned in the same condition as
hired. If the vehicle is damaged during the period of hire it remains on hire until
it is returned to us ready for rehire. A deposit equal to the policy excess is held at the begining of the rental.
COLLECTION & DELIVERY
For weekly rentals we operate a free weekday collection service between 09.00 and 17.00 within 10
miles from Head Office and 3 miles from Staines and Kingston offices We collect you and bring you to our office.
A charge is made for collections further away and outside these hours . Heathrow collections are free from our Staines office approximately 15 minutes away. Gatwick collections are available at a cost of £20.00 each way from our Bisley office approximatly 45 minutes away.
OVERSEAS USE
Vehicles may only leave Britain with our permission. A 25% surcharge is
payable plus the cost of a Green Card. Evidence of a valid Continental Recovery policy must be produced by the hirer at the time the rental commences .
FUEL
This is not included in the rates. All our vehicles are supplied full of fuel and must be returned
full. Vehicles not returned full are charged at £2.00 per litre to refill.
RENTAL AGREEMENT TERMS & CONDITIONS
1 The Hirer acknowledges that the vehicle is fit for his purpose and is in good condition and undertakes
to return it and its accessories in the same condition, fair wear and tear excepted, to the lessor on the
date due back specified.
2 During the rental period the hirer shall keep the vehicle and its accessories in his or any driver's possession and free from legal
process or lien and when not in use adequately protected and secured.
3 The hirer and any driver shall ensure that the vehicle will not be used:
a) for hire or reward.
b) for racing, pacemaking, rallying, speed testing, driving tuition or similar purposes or for propelling
or towing (other than vehicles fitted with a tow bar) any vehicle, trailer or other object.
c) in any manner which might render void the insurance policy, or other contract of insurance.
d) for any illegal purpose or in contravention of any legislation affecting the vehicle, its use or construction.
e) by any person who:
i) is not licensed to drive the vehicle
ii) is under 21 years of age or over 75
iii) is under the influence of drink or drugs
iv) has given a fictitious name, age or address
v) has not been approved by the lessor as a driver
vi) has been convicted of a motoring offence the details of which have not been disclosed in writing to the lessor at the commencement of the hire.
f) outside England, Wales or Scotland without the prior consent of the lessor.
4 The hirer agrees to pay on demand:
a) rental charges.
b) any appropriate costs in respect of Loss Damage Waiver, Third Pary Insurance cover, Additional Damage Waiver and Continental Supplement.
c) the excess amount in respect of each incident resulting in damage to or loss of the vehicle, its accessories or any property left stored or transported in or upon the vehicle.
d) any Administrative Charges resulting from return cheques, unauthorised extension of the period of hire or vehicles returned with pet hair or in excessively dirty condition.
e) the full cost of any repairs and loss of use to High Roofed Vehicles above cab height except as a result of impact damage with another vehicle.
f) the full cost of repairs and loss of use resulting from the hirer filling the vehicle with the incorrect fuel type.
5 The hirer and any driver shall:
a) ensure compliance with the terms, conditions and limitations of the insurance policy, which shall be deemed to be included in this agreement as if the same were fully set out herein.
b) inform the lessor immediately of any loss or damage to or fault developing in the vehicle.
c) at the request and cost of the lessor permit to be done in his own name all acts and things as may be reasonably
required by the lessor for the purposes of repairing the vehicle or enforcing any rights or remedies or of obtaining relief from other parties in respect of any loss or damage to or in connection with the vehicle or its accessories.
d) indemnify the lessor against any lost incurred by reason of any breach of this agreement by the hirer or any driver.
e) ensure the maximum payload and individual axle plate weights are not exceeded.
f) be responsible for the loading and unloading of the vehicle.
g) obtain or maintain any necessary operator's license under the Road Traffic Acts.
6 The hirer and any driver shall not:
a) without the prior consent of the lessor incur any liability for repairs to the vehicle in excess or £25.
b) be the agent or servant of the lessor for any purpose.
c) make any claim for loss of or damage to any property left stored or transported in or upon the vehicle.
7 All conditions and warranties, express or implied, as to quality, description, fitness for purpose of the vehicle or otherwise
are hereby expressly excluded and the lessor shall not be liable to the hirer or any driver or any third party for any loss howsoever caused.
8 In the event the hirer is convicted of a motoring offence as a result of an accident in our vehicle or, fails to report an accident within 24 hours
of it happening or, does not complete an Accident Damage Report within 48 hours, the hirer is responsible for the full insurance excess.
9 If the hirer returns the vehicle out of hours, they remain liable for any damage to the vehicle until it has been checked by the lessor.
10 The period of hire as specified overleaf shall not be extended without the lessors express authorisation. In the event that the period of hire
is extended, payment must be effected for the extension period in advance in order to prevent the insurance cover from lapsing. Failure to comply
with this clause may render the hirer liable for additional administrative charges.
11 In the event payment is effected by credit or debit card the hirer authorises the lessor to debit the relevant card with any charges relating to the
extension or termination of this agreement. Additionally the hirer authorises the lessor to pay together with their 50% handling charge any unpaid parking tickets,
congestion charges and bus lane fines to the debit of the relevant card.
12 Where the hirer has opted to "Self Insure" the vehicle they accept that they are responsible for all charges as outlined in clause 5 until the vehicle
is returned to the lessor in the same condition as rented.
13 Any addition to or alteration of the terms and conditions of this agreement shall be null and void unless agreed upon in writing by the parties.
CANCELLATION POLICY
Reservations cancelled with less than 48 hours notice are subject to a charge of £23.50 or 1 days hire whichever is the greater.
